OVERVIEW OF POSITION / DEPARTMENT
The Public Works Department is responsible for providing safe, effective transportation and building within the city of Aurora through quality planning, design, construction and maintenance. This position performs a variety of administrative and financial duties requiring discretion and independence of action.

PRIMARY DUTIES & RESPONSIBILITIES
Schedule and coordinate meetings for the Chief Building Official, Management Staff, and department staff members
Taking, transcribing, and distributing meeting minutes for the Building Code and Contractor’s Appeals and Standards Board Meeting
Compile and generate reports
Responsible for the ordering and purchasing of supplies and materials
Process purchasing, accounting and other financially related paperwork
Serve as payroll coordinator and processes bi-weekly payroll
Process personnel paperwork and maintain employee records
Enter data, payment and invoices into automated financial systems
Maintain/edit Building Division website pages
Receive, respond to, and route calls, emails and visitors
Provide customer service and respond to inquiries in-person, over the phone, and electronically
Provide administrative support to department managers, supervisors and staff
Ensure prompt follow-up to Council, public records, and citizen requests
Produce and/or edit correspondence, financial reports, memos, meeting agendas, and other office documents
Route internal documents, maintaining internal phone lists, and other general office tasks
Perform special projects and other duties as assigned
MINIMUM QUALIFICATIONS
Education:
High School Diploma or GED
Experience:
At least 2 years increasingly responsible financial and administrative support experience
An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered.
Preferred Qualifications:
Associate degree in finance, business, office administration or directly related field preferred
Experience using a multi-line phone line and computers preferred
Knowledge:
Minimum intermediate knowledge of Microsoft Office products including Word, Excel and PowerPoint
Knowledge of standard office procedures; general business practices; report formatting and records maintenance; and office management principles
Abilities:
Establish and maintain effective working relationships with employees, all levels of management including executive staff, citizens, and elected officials
Handle sensitive situations with tact and diplomacy
Communicate effectively both orally and in writing
Handle sensitive information to maintain confidentiality
Skills:
Excellent customer service skills over the phone and in-person
Strong interpersonal skills
Skill in the use of windows-based programs
Skilled in checking information for accuracy, completeness and correcting errors
Work independently without extensive oversight

WORKING CONDITIONS
Physical Demands:
Primarily sedentary physical work requiring the ability to lift a maximum of 10 pounds
Occasional lifting, carrying, walking, and standing
Frequent hand/eye coordination to operate computer and office equipment
The vision for reading, recording and interpreting information
Speech communication and hearing to maintain communication with employees and citizens.

Works primarily in clean, comfortable environment
Equipment Used:
This position may require the incumbent to occasionally use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment
Position may be eligible for some remote work. Remote work requires employee has satisfactory internet service and the ability to make a direct ethernet connection to the modem
Uses standard office equipment including personal computer and common office software such as email, internet, Word, Excel and menu driven databases
Essential Personnel: When a local announcement of emergency or disaster is declared by the City, all City of Aurora employees may be required to work as essential personnel.
