Provides office administrative management support to the ETS Product Evaluation Department (PED) and the Product Development Lab (PDL). Manages the technical records for the departments and creates and publishes various documents and reports.

1. Daily office management

A. Supports the staff of the Test departments by managing the daily office activities.

Ensures function of office equipment including printers and fax machine.
Sorts and distributes mail for the Test personnel.
Assists trainers and responsible parties with New Hire and New Hire Checklist to ensure completion and maintains records.
Assists with Vinyl Cutter requests and departmental signage
Maintains office supply inventory for the Test departments, ordering as necessary.
Coordinates and maintains inventory of lab coats and floor runners.
Prepares and maintains reports, presentations and department communications.
Maintains project files containing test requests, test reports and other pertinent test data. Provides support for timely processing of test reports and other correspondence as requested.
Maintains emergency contact list for all Department employees.
Coordinates the documentation of agreements for local field test sites from initial correspondence to collecting and finalizing documentation.
Daily fuel level entry into spreadsheets and stress room documentation for MPCA requirements along with fuel delivery documentation.
Adds/updates/edits new projects and users to the LIMS system.
Coordinates department events including service anniversaries, retirements, recognition and special events. Includes cards, flowers, blanket orders, etc. as requested.
Maintains personnel information including emergency contacts, employee address and phone numbers for the Test departments.
Maintains department conference rooms; scheduling, equipment and supplies.
Provides support for maintaining the calibrated instrument database.
Schedules staff meetings, as requested
Assists in creating and updating forms used in the department
Assists in department Sharepoint site, as requested
Tour calendar updates and assists Tour Coordinators for the department
Assists Field Test Sites with Sustainability documentation requirements

B. Key support resource for computer software programs and training, this includes:

Microsoft Office Suite
Department Sharepoint site
TMS application for shipping equipment
SAP spending information

C. Liaison with Toro Facilities department in the configuration of office space, work station set ups and department moves.

D. Coordinates the distribution of computers and other department equipment, collaborating with the IT and CAE departments.

E. Coordinates with Test Engineers on Safety reports which includes assistance with tracking, i2i research, keeping updated model list for compliance, and other assistance as necessary.

2. Project Tracking, Budget and Labor Maintenance

A. Provides support for project tracking, budget and labor maintenance.

Manages Field and Lab Test temporary labor hours and invoicing.
Assist in Initiating electronic routing of Investment Authorization Requests (IAR).
Prepares weekly and/or monthly project and spending reports for Managers and Supervisors when requested.

B. Maintains and coordinates the purchase order and invoice process for the Test departments.

Department resource for all e-Marketplace questions and issues. Includes both Travel/Expense report and purchasing processes.
Administrator of department purchase orders, including updating vendors, posting invoices to purchase orders and running necessary reports.
Processes all invoices for the departments, ensuring valid account/cost center information, providing control approval and submitting to Accounts Payable for payment.

3. Performs other duties as may be assigned.

Supports the Product Evaluation staff including Test Sites
Supports other ETS groups with specific invoicing, PO, or vendor inquiries
Must work independently, relying on experience and judgement to plan and accomplish goals
Understanding of accounting principles including reconciliation, depreciation, and establishing rates

High School diploma or equivalent (2-year degree in Business or Accounting preferred) with minimum of 2-5 years of experience in the field.
Proficient computers skills in Microsoft Office tools and applications similar to SAP.
Excellent administrative, organizational, training and interpersonal skills required.
Familiarity and experience with corporate budget and cost center management practices a plus
