We are currently seeking an Administrative and Connecting Support Specialist to work in our Indianapolis, IN office location. This is a full-time, non-exempt position working 8:30 AM - 5:00 PM Monday through Friday.
Position Summary:
The Administrative and Connecting Support Specialist will work collaboratively with EAP Management to support efforts at consistent delivery of services. Qualified candidates will be employing telephone presence and skills in relating to clients, have strong customer service skills, exhibit excellent common sense, and possess good judgment. The candidate should be comfortable working in a team environment and be flexible with day-to-day job assignments. This position involves performing front office responsibilities such as greeting clients, handling mailings, ordering of office supplies, etc. Additionally, speaking directly with clients, getting a sense of what the caller’s needs are, imputing information into the electronic record system, transferring callers to a counselor if the caller is in emotional distress or requires clinical expertise to manage their concern. This position also involves connecting callers to EAP clinical staff or affiliate providers for services.
Key Accountabilities and Duties:
- Greet clients in person
- Use customer service skills to generally determine the prevailing needs of clients and what they require from EAP services.
- Screen when necessary for safety issues, domestic violence, substance abuse and other high-risk considerations and connect clients immediately to on-call counselor, when needed.
- Schedule clients with EAP staff or connect clients to affiliate providers in their geographical area.
- Provide general information and referrals, within our system, to subject matter experts in areas such as legal, financial, and work-life concerns.
- Follow-up with clients to ensure high levels of customer satisfaction are met.
- Daybreak billing tasks; obtain and verify accuracy of paperwork from affiliate providers and from the Daybreak database, documenting as appropriate.
- Provide office administrative support (order supplies, coordinate mailings and Fed Ex shipments, etc.)
- Tracking, scheduling, and supporting Webinars, as needed
- Create, reformat, and prep PowerPoint presentations, as needed
- Collaborate with other departments including Marketing and IT to support internal functions and initiatives
- Assist with account renewal process
- Other duties as assigned
Qualifications:
- High School diploma required; Associate’s or bachelor’s degree preferred
- Strong commitment to excellent customer service.
- Excellent computer skills, including MS Office Suite and database management
- 1-3 years’ experience in an office environment
- Strong ability to take on new initiatives with minimal oversight
- Adapts quickly to new technology and systems
- Outstanding interpersonal, communication, organizational and problem-solving skills.
- Ability to be a self-starter
- Excellent time management skills and the ability to prioritize work.
- Excellent written and verbal communication skills
- Establish strong working relationships both internally and externally at all levels
