Job Title : Administrative Assistant 1 Job Summary : Provides standard and advanced secretarial and clerical services. Greets visitors, maintains department files, schedules meetings and assists department heads with designated administrative duties. Education :
High school diploma or equivalent, with appropriate business and typing courses.

Work Experience :
Minimum of three years experience in secretarial, clerical and office procedures preferred. Required skills include answering telephones, coordinating meetings, composing letters/memos, establishing and maintaining filing system, scheduling appointments, inputting data into computer, and developing office procedures. Office machine skills needed include adding machine, calculator, word processor, personal computer, multiline phone, typewriter, photocopier and fax. Must be able to type at least 50 words per minute. Requires ability to compose and organize written materials ability to assemble facts and manage time and work amid interruptions, a high degree of initiative, good judgment, and a pleasant manner.

Maintains established departmental policies and procedures. Supports the hospital's Christian mission and philosophy. Types correspondence, reports, memoranda, requisitions, special projects, technical papers and related material as requested. Transcribes dictation and composes letters and memoranda from dictation, verbal direction or from knowledge of hospital policies and procedures. Schedules and coordinates meetings and facilities as necessary. Prepares memoranda and other materials as required. Receives, handles and transfers phone calls and messages promptly and courteously. Provides routine information in accordance with hospital policy as necessary. Routes incoming mail; distributes correspondence and other material to departmental staff as necessary. Establishes and maintains cumulative construction files consisting of cost information, letters, memos, construction contracts and miscellaneous documents pertaining to construction projects. Resolves routine problems in work area. Orders office supplies as necessary. Assures that the office area is neat and orderly. Assists with care and maintenance of department equipment and supplies. Participates in educational programs and Inservice meetings. Attends meetings as required. Performs other duties as assigned or requested.

Functional Demand :
Prolonged periods of standing, walking, or sitting while on duty. Lifting, pushing, and pulling up to 10-15 pounds with or without assistance. Visual and auditory acuity and manual dexterity essential to performing designated duties required. Ability to perform effectively in a stressful and fast paced environment. Ability to pass all required health and other screening tests. Physical conditions are clean, neat and well lit. Maybe subjected to unpleasant sights and odors, stressful situations and hazardous or infectious agents where judgment as to precautions need to be taken is essential. Climate control an ambient temperature variances may be experienced. Exposure to limited amounts of hazardous chemicals or substances and infectious disease processes are a possibility. Hours of duty may be irregular or unexpectedly extended due to emergency circumstances. Direct contact with blood or other body fluids to which universal precautions apply. Personal protective equipment is made available and must be worn.
