Under the supervision of the Director, the Administrative Assistant for Operations provides administrative and clerical support for the operation and management of the Center for Accessibility Resources & Disability Services. The Administrative Assistant will oversee the coordination of testing accommodations and note-taking services. This person will collaborate with and support the work of the entire CARDS staff.

Position Summary Information

Essential Duties Summary
Responsible for coordinating and scheduling testing accommodations. Review and approve daily student exam requests, analyze space availability, and assign students and proctors to testing locations based on specific student accommodation needs.
Monitor CARDS email account for communications from professors regarding exams. Follow up with Barnard and Columbia faculty regarding exam proctoring instructions and to obtain copies of exams.
Ensures that all exams are prepared according to professor instructions and CARDS procedures.
In collaboration with the Associate Director, assign accommodation-related projects to Graduate Assistants as needed.
Provide verbal and written clarification of CARDS policies and processes to faculty, staff, and students as needed.
Responsible for coordinating note-taking accommodations. Follow up with Barnard and Columbia faculty for class rosters and recruitment information. Hire student note-takers, review notes, reconcile and coordinate note-taker payments in collaboration with Beyond Barnard.
Obtain a strong working knowledge of all assistive technology used within CARDS (e.g. Dragon NaturallySpeaking, CaptiVoice, Glean Audio Notetaker, Bookshare, etc.). Maintain user profiles for students and utilization records for the department. Provide training on assistive technologies to staff and students and troubleshoot issues with assistive technology representatives as needed.
During heavy volume times of the semester (midterms and finals), the Administrative Assistant may be asked to serve as a confidential test proctor and reader/scribe (according to CARDS procedures.) on an as-needed basis. May include pick-up and delivery of exams at faculty offices.
In the absence of the Assistant to the Director, perform clerical functions: serve as receptionist, answer telephones, take messages, screen/direct/respond to information requests (in-person, telephone, email, fax).
Responsible for special projects or duties as assigned by the Director.
Perform other related duties as required.

Knowledge, Skills, and Abilities
Strong computer skills: MS Office, database management experience required. Assistive Technology experience desirable.
Ability to work quickly, be flexible, and handle/prioritize different projects at one time, especially during “peak” periods, such as the beginning of each semester and midterm/final exam periods.
Willingness to learn new skills, develop an understanding of information about disability compliance and individuals’ needs as required, take initiative, and work with minimal supervision, both independently and interdependently.
Ability and willingness to deal effectively with diverse constituencies both inside and outside of the College, using good judgment, courtesy, tact, confidentiality, and an enthusiastic and congenial attitude towards assisting students and staff.
Experience in planning, coordinating, and implementing special programs and events.
Experience and/or strong interest in working with people with disabilities.
Willingness to learn and adapt to new technologies and changing office processes to meet the needs of individuals with disabilities on campus.

Required Qualification Summary
Bachelor’s degree required; other educational or work experience may be substituted for the bachelor’s degree at the discretion of the hiring manager.
Three years’ related office experience, with working knowledge of office procedures and practices; demonstrated administrative and organizational skills; excellent typing (60 wpm).
Meticulous attention to detail is required. Ability to communicate clearly, tactfully, and professionally with various campus constituencies (faculty, staff, and students) both verbally and in writing. Strong proofreading and editing skills, with demonstrated ability to consistently meet goals and deadlines.
Good judgment and discretion are essential; this role is tasked with protecting the privacy and maintaining the privacy of records related to sensitive personal information
