Employees in this class provide administrative support requiring long range planning skills and the ability to coordinate the completion of multiple tasks or projects within established time frames. Incumbents are generally directed to perform primary functions of the Administrative Specialist level, but are periodically assigned to more complex work involving independent planning, coordinating, and completing special assignments at the discretion of supervisor, to include performing research and developing written presentations.

The Administrative Assistant I position for the Marketing Department is involved in all aspects of assisting the marketing department including but not limited to website population, creating eblasts, copy, seeking approvals, working with customer data and volunteer coordination. In addition, the Admin I for the Marketing Department handles tasks for annual summer program Next Stop Broadway. Occasional night and weekend hours may be required. Days and locations may vary as assigned.

Creating, editing and updating show webpages.
Monitoring marketing email inboxes and responds to customers.
Coordinating over 60 volunteers who are assigned to work shows and special events.
Learn ticketing system (Tessitura) to extract lists for email and social media.
Learn eblast platform (Wordfly) to populate copy, upload customer lists, schedule and send eblasts
Seek approvals and ensure timely delivery of marketing assets.
Setup, cleanup, and transportation of marketing materials necessary to market shows at productions and special events held at various venues/locations to fulfill sponsorship agreements.
Work annual summer program (Next Stop Broadway) including administrative planning, enrollment, payment processing, and being on-site during the camp. Point of contact with out of state staff, local teaching assistants, volunteers and parents.

At a minimum the selected candidate must have a high school diploma or high school equivalency degree supplemented by at least two (2) years of experience in adminstrative support functions. Additionally, the preferred candidate will have a high school diploma and three (3) years of related experience in administrative support functions, preferably with experience in performing assignments, and/or projects that demonstrate a high degree of organization and independent judgment. Requires proficiency in word processing applications; conventional typing may be required.
