ADMINISTRATIVE ASSISTANT II

DEPARTMENT OF LAW

Collections, Ownership, & Administrative Litigation (COAL) Division

Number of Positions: 1

Starting Salary: $44,808.00

This position is open to current AFSCME BIDDERS AND the PUBLIC. Only current City employees covered under the City’s Collective Bargaining Agreement with American Federation of State, County, and Municipal Employees Union - AFSCME (BARGAINING UNITS 1, 3, 4, & 5) are considered BIDDERS and are eligible to bid. Qualified BIDDERS who properly submit a bid application will receive preference over any non-bidders.

Under general supervision, the class performs administrative, clerical, and secretarial duties.

ESSENTIAL DUTIES

Enters data for more than 10,000 lawsuits annually into the Department of Buildings (DOB) database for health and safety violations of the municipal code
Conducts research and compiles information from publicly available websites for ownership information
Compiles documents and obtains data from various sources to prepare programmatic and administrative reports
Proofreads documents and correspondence submitted for supervisor’s review
Answers telephones, responds to inquiries, and directs calls
Organizes and maintains program records and office files
Relays directives and distributes information to staff as directed
Performs various clerical duties to relieve supervisor of administrative and clerical detail
Attend meetings as needed

RELATED DUTIES

May supervise staff performing routine clerical functions; may participate in the conduct of special projects and studies to improve the efficiency of administrative operations

Additional duties may be required for this position.

Address: 121 North LaSalle St, Suite 400

HOURS: 9:00 am to 5:00 pm (with a 60-minute lunch period)

SHIFT: Monday through Friday

THIS POSITION IS IN THE CAREER SERVICE.

Qualifications

Minimum Qualifications

Two years of progressively responsible administrative or secretarial experience, or an equivalent combination of training and experience.

Preference will be given to candidates possessing the following:

A Bachelor’s Degree
Previous administrative and clerical work experience
Previous work experience maintaining and generating reports
Previous customer service experience
Proficiency with Microsoft Office Suite

SELECTION REQUIREMENTS

This position requires applicants to successfully pass a skills assessment test and complete an interview, which will include a written exercise. Test results will be sent out by the Department of Human Resources after test results have been compiled and analyzed. Applicants who receive a passing score on the test will be selected to interview. The interviewed candidate(s) receiving a passing score on the test and possessing the qualifications best suited to fulfill the responsibilities of the position, based on the oral and written parts of the interview, will be selected for hire. If you are a bidder, you will be selected in seniority order according to the collective bargaining agreement.

Residency Requirement: All employees of the City of Chicago must be actual residents of the City of Chicago as outlined in Section 2-152-050 of the City of Chicago Municipal Code. Proof of residency will be required.
