Responsibilities
As an Administrative Assistant III Floater, responsibile for patients scheduling, admissions, and therapeutic procedures: obtaining insurance authorizations, answer, screen and respond to incoming calls, prepare all documentation, charts, encountering and other information needed for physician clinics, schedule patient needed appointments, x-rays, surgery, and tests. Prepare all necessary documents and forward to appropriate departments including insurance authorizations, charge documents and reconciliations and disability and worker’s compensation forms. Explain charges to patients and assist patients with billing questions, communicated directly with department billing and Physician Support Services. Serve as a liaison between patients, physicians, nursing units and other UCLA departments. Prepare daily, weekly and monthly reports, as needed. Responsibilities also include providing support in appointment scheduling, pre-registration, patient reception, cash collection and other related duties. The AAIII will travel and work at department clinics throughout the community as assigned by the supervisor for coverage. Other duties/tasks, as assigned.
Qualifications
Required:
Demonstrated basic knowledge of physician office policies and procedures.
Demonstrated computer skills including word-processing, use of spreadsheets and data entry.
Ability to communicate effectively with medical, nursing and administrative personnel, regulatory agencies and study sponsors.
Skill and experience in operating office machines including hospital based computer systems.
Skill and experience in composing clear and understandable written memos and reports using correct grammar.
Skill in communicating with patients, families and referring physicians with diplomacy
Working knowledge of medical terminology.
Familiarity with physician office billing procedures
Superior typing skills to prepare correspondence, reports and other written materials with speed and accuracy
Ability to work flexible hours and travel to department clinics, as assigned.
