Louis Vuitton is searching for a Store Planning Admin Assistant based out of our New York City office that will support our Vice President of Store Planning and Development. As an integral member of the team, you will help lead projects, prepare presentations for the VP, maintain store planning reports, and other general administrative duties (including calendar management). We are looking for an individual with strong communication skills who will be the point person for Store Planning inquiries from other departments.

Prepare PowerPoint presentations for VP. (Sales meeting, special projects).
Prepare expense reports and arrange travel plans.
Maintain excel spreadsheets for store planning reports. (Builder’s Risk updates)
Be the Floor Captain and order all supplies for department. (Staples, pantry items).
Coordinate the maintenance of all equipment in the department. (Copier, zoom TV) and put in repair tickets when needed.
Primary contact for all dept delivery services. Messenger, Fedex, UPS, etc.
Keep track of Corporate Amex bill for department.
Process department invoices in MYPO (catering, workshop, etc)
Prepare new Store Planning hire setup (IS&T equipment request, badge request, & onboarding agenda)
Maintain all Store Planning employee information for HR. (Vacation requests, paid time off requests, sick days etc.) and report back to HR.
Monitor travel calendar for department.
Prepare presentation for bi-weekly Store Committee presentations and coordinate the meeting.
Plan bi-weekly staff meeting and handle agenda.
Coordinate all professional store photography shoots. Work with photographer and Project Manager. Ensure all approved parties receive final photos. Forward to Paris on needed schedule.
Keep archive of all photos for department.
Maintain department calendar and coordinate all department meetings, department celebrations, and annual workshops.
Keep team updated on activities hosted by Employee Engagement Committee. Be point person for gift drops distribution for the team.
