SUMMARY:

Under the general direction of the Deputy Court Administrator, Friend of the Court, or General Counsel performs a full range of confidential secretarial and administrative support services. Activities include record maintenance, report preparation and other administrative support functions. Employees in this title are expected to maintain a professional appearance and demeanor.

ESSENTIAL FUNCTIONS:

  • Prepares various administrator level reports and applications for approval.
  • Processes and maintains correspondence; creates and maintains reports, brochures, training materials and other documents; answers telephone calls, makes travel arrangements, and maintains the Executives calendar.
  • Arranges, schedules, and prepares calendars of meetings, appointments and interviews, secures facilities and ensures notification to all parties. Prepares and distributes agendas and other materials.
  • Attends meetings; records and prepares minutes for distribution. Maintains files of meeting notes and materials.
  • Organizes events.
  • Coordinates, prepares and maintains various calendars.
  • Serves as the initial contact person for visiting judges, dignitaries, and special programs.
  • Prepares vouchers and approves timekeeping system entries as directed by the Executive.
  • Maintains and updates reference books, manuals, files, and records as necessary.
  • Interacts with various court partners to ensure timely submission of court documents and entry into the court’s case management system.
  • Determines and performs random reassignment of cases when necessary.
  • Reviews invoices and receivables, and monitors expenditures as assigned.
  • Answers questions or refers inquiries to appropriate individuals.
  • Arranges for maintenance and repair of office equipment and orders office supplies.
  • Tracks room assignments and staff parking assignments as assigned.
  • Performs other duties as assigned.

QUALIFICATIONS:

  • High school diploma or equivalent; post high school education preferred.
  • Three (3) years of progressively more responsible administrative experience in a legal, law, court, judicial, or closely-related setting.
  • Proficient using MS Office Suite and relevant software and systems.

ELIGIBILITY: This examination is open to anyone who meets the minimum qualifications. A person may not participate in an open competitive examination for the same title until ninety (90) days have passed since they last took the examination.

SELECTION: Applications will be screened for compliance with eligibility requirements and minimum qualifications. Past performance will be considered to determine eligibility for the position. Applicants must attain a minimum score on each portion of the examination to proceed to the interview process. Applicants who achieve a passing score on each portion of the screening process shall be placed on the eligibility list.

Pay: $41,071.00 - $55,599.00 per year
