Job Description:

This position is responsible for providing office/clerical support to the Operations Department, which includes maintenance for the Parks, Sports Turf, Facilities, Forestry, and Golf. Essential Functions:

  • Communicate effectively. Handle all telephone calls pertaining to maintenance, sports turf, facilities, forestry, and golf maintenance. Use of written and verbal communication to provide accurate information to the public and/or direct the person to the appropriate department.
  • Manage and distribute work requests to the appropriate staff utilizing a computerized work management system. Enter in the hours of staff and equipment after work requests have been completed.
  • Maintain and prepare forms, listings, calendars, and documents determining the require data. Gathering, receiving, and compiling data from several sources. Comparing information to verify accuracy and formatting data appropriately. Information must be accessible and indexed.
  • Ensure good public relations by dealing with the public in a courteous and professional manner. Possess excellent interpersonal skills. All documentation to be completed in an accurate and timely manner.
  • Provide staff with computer support in word processing, database, data entry, and desktop publishing programs. Take and distribute minutes for meetings. Provide support by producing, filing, and retrieving correspondence for staff as requested.
  • Correspond with the public regarding unauthorized personal property, sump pump discharge, etc., on Park District property for expedited removal. Track and monitor progress with Park Supervisors and other department heads.
  • Maintain office and keep office equipment in good working order.
  • Be knowledgeable of Park District policies and procedures.
Other Requirements:
  • Knowledge and skill in computer operation and programs, i.e., Microsoft Office Suites, Excel, PowerPoint, and Office 365
  • Excellent oral and written communication skills
  • Ability to handle the public effectively and the ability to handle a busy, diverse workload.
  • Knowledge of clerical and office procedures and systems such as filing, record keeping, and scheduling.
  • Ability to perform work with a high degree of accuracy and organization.
  • Knowledge and skill in operation and maintenance of standard office equipment.
  • Ability to work cooperatively with others.
  • Possess excellent customer service and listening skills.
Required Experience:
Education/Experience -

  • A minimum of a two-year degree in Office Administration or Office Management
  • A minimum of two years’ experience in a related position
Must possess a valid driver’s license.
