The Administrative Specialist provides direct support for the Pathology Physicians and Tech Support Staff. The Administrative Specialist will review patient reports, manage reporting from outside facilities, maintain diagnostic slide files, review pathology billing for accuracy, register patients for specimen mail-in accounts, and send out tissue samples to reference laboratories. These colleagues manage office operations and support all four pathologists, including coverage of nine incoming phone lines, and triaging calls for immediate need for pathologists and/or techs.
SKILLS, KNOWLEDGE, EDUCATION AND EXPERIENCE:
High school diploma or equivalent required.
A minimum of two (2) years of relevant experience required, preferably in a healthcare setting.
Excellent verbal and written communication skills required.
Requires demonstrated proficiency in multi-tasking, flexibility, time management, organization, attention to detail and professionalism.
Must be able to work equally well independently and in a team environment.
Requires intermediate computer skills with an emphasis on Microsoft Office applications.
Experience with process improvement or lean philosophy preferred.
Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision.
Must be able to work in a stressful environment and take appropriate action.
ESSENTIAL FUNCTIONS:
Knows, understands, incorporates, and demonstrates the Organization's Mission, Vision, and Values in behaviors, practices, and decisions.
Composes, types and transcribes correspondence, forms, reports, presentation materials and other written communications as required.
Receives and screens visitors and telephone calls and handles general inquiries.
Schedules / coordinates meetings, conferences, special events, appointments and travel arrangements.
Maintains assigned calendar(s). Establishes and maintains filing systems.
Orders and stocks supplies.
Assists with special projects and interdepartmental needs when appropriate.
