Description:
Under general supervision, the Medical Office Associate provides a range of both patient related support functions and non-medical support services for the Family Clinics within the Department of Disability and Human Development (DHD) at UIC. This position’s primary function is ambulatory receptionist duties for all staff, patients and visitors for DHD’s Family Clinics. The position includes general reception duties, scheduling, patient registration, monitoring patient flow, and duties related patient insurance, billing and account maintenance, and collections.
Duties:
Performs clinic reception duties, including greeting patients, answers, screens and routes telephone inquiries, provides front desk support as needed; scheduling call in and out-patient clinic appointments in accordance with clinic guidelines; responds to routine questions from patients and their families, visitors and medical staff.
Assist with planning and coordinating patient/client appointments; maintains clinic patient calendar.
Informs new patients of the Family Clinics’ billing/payment/insurance procedures and guidelines; generates patients charge tickets with responsibility for retrieval and accuracy of information; collects co-payments at the time of service; evaluates patient’s financial status and establishes Alternative Payment plan when appropriate; follows and reports status of delinquent accounts
Creates and updates patient/client electronic billing records; enters, codes, verifies, stores, and retrieves information concerning a patient’s medical record either manually or via the electronic medical record (EMR) or other computer information system (EPIC); compiles and records medical charts, reports, correspondence, and insurance information using computer system
Orders clerical and clinical supplies for clinicians and other Family Clinics staff
Manages the clinic intake line and gathers initial client information for scheduling purposes; establishes, maintains, and updates files and/or records for the Family Clinics (such as patient medical records, patient financial files, and activity summaries)
Qualifications:
1. High school diploma or equivalent/GED. Assocaite Degree desired
2. Any one or any combination of the following, totaling one (1) year (12 months), from the categories below:
a) work experience comparable to that performed at the Medical Office Assistant level or in other positions of comparable responsibility
b) work experience in a health care facility such as a doctor's, dentist's or hospital's office; which involved record keeping, working with the public, direct patient contact, answering telephones and working with medical terminology
c) graduation from an accredited medical secretarial or paramedical program, such as nursing assistant, medical assistant or medical secretary
