Under the supervision of the Duet Executive Assistant, the Administrative Assistant is responsible for providing daily support for Duet's Administrative Offices, including the Leadership Team.

Job/Position Summary:
Under the supervision of the Executive Assistant, the HR Administrative Assistant is responsible for providing daily support for the Administrative Building and providing support to the Human Resources team as needed.

The following knowledge, skills and abilities are indicated by formal education courses, training and/or previous work experience.

  • High School Diploma or GED required. Previous administrative experience in Human Resources is preferred. * Knowledge of standard office filing systems and ability to use the systems accurately (alphabetically, chronologically, etc.). * Ability to communicate clearly, concisely, and courteously both over the phone and in person. * Ability to perform keyboard data entry accurately. * Ability to organize work and time in an efficient manner. Knowledge of phone etiquette. Knowledge of agency forms and their use. General knowledge of Agency policies and procedures. * Ability to work with and maintain confidential material in a professional manner. * Knowledge and ability to operate a computer using word processing and other applications. Familiarity with HR/payroll software is preferred. Strong understanding of Microsoft 365 (Word, PowerPoint, Excel, Teams). Ability to operate office equipment, including multi-line phone system, fax, and copy machine. Therap & Workday experience preferred Strong attention to detail
Essential Responsibilities:
Assist Recruitment & Retention Specialist in coordinating the hiring process. This includes:

Recording job requisitions and providing information on current openings,
Assisting applicants in application, testing and interview processes as needed,
Assist and back up with new hire physicals and drug screens, and
Track new hires through the hiring process in Workday.

Assist with orientation and onboarding. Submit background checks for orientation. Create packets, handouts and goodie bags for orientation. Serve as back up for orientation presentation. Act as the Human Resources Receptionist, greeting employees and general public promptly and courteously. Assist front desk with packages and visitors. Answer telephones to relay calls, take messages, and/or provide information for both employees and the general public using rules of telephone etiquette and Agency knowledge. Enter data into the HR/Payroll systems, with strict attention to accuracy and confidentiality. Run reports as requested, or needed, utilizing knowledge of the data components and the reporting software. Provide files and documents for state reviews. Run, format and send monthly service anniversary and new hire report for newsletter. Assist with agency training and documentation, including documenting trainings in Therap, researching students for Med Aide class, and emailing participants. Process incoming and outgoing mail daily. Complete written employment verifications as well as time sheet and other audits of personnel records as required. Collect and process monthly employee mileage reports. Create, maintain, and update employee files using a standard filing system. Obtain background and reference checks, including weekly I-9 processing with E-Verify. Maintain worker documents in Workday, including COI, driver’s license, I-9, and job descriptions. Obtain signatures, record and file corrective actions and waiver requests. Record and file evaluations and performance reviews. Assist with process of terminating employees, email termination questionnaires, pull termed employee files and I-9 documentation. Maintain and update inactive applicant files. File ongoing paperwork. Process departmental billings and supply orders. Ensure job descriptions are complete and uploaded into the appropriate Share Point folders. Type departmental correspondence/forms as needed. Additional duties as may be assigned.

WORKING CONDITIONS:
This job has a normal indoor office environment. Bending, standing, and sitting are all required. The office pace can be rapid at high recruiting times and when dealing with upset employees or supervisors. 25 pound lifting requirement.
