The Administrative & Operations Specialist supports the Wealth Management team in achieving its client service and growth initiatives. This stakeholder provides general administrative assistance to members of management while also performing daily, weekly and monthly operational tasks related to client administration. Direct client support and participation in business development activity planning is also included in this role.

Essential Duties and Responsibilities:
Perform reception duties including greeting clients and vendors in person and by telephone; provide administrative assistance in the form of scheduling, filing and document management in solutions such as Microsoft Office and Adobe
Act as the primary client support and technical expert for online account access solution
Responsible for ordering supplies, postage & freight and accounts payable activities
Simple Operations vendor management
Execute Daily Cash Settlement to include batch transaction posting, reconciliation of cash activities with some problem solving and net cash movement
Perform daily, weekly and monthly account reconciliations and operations oversight reports
Generate customized client reports and statements
Participate and assist the department with Audit preparation
Customer Relationship Management (CRM) system administration, including user management and report generation
Prepare internal and external communication materials in collaboration with management and the marketing team
Assist with event planning and coordination
Edit & produce new business development proposals and other related materials

Basic Qualifications:
High school diploma and at least 3 years of related work experience

Preferred Qualifications:
Associates Degree and at least 3 years of related work experience
Experience with Microsoft Office Suite of products

Skills and Abilities:
Excellent client service skills suited to the expectations of high net worth individuals.
Clear and diplomatic written and verbal communications.
Detail-oriented, organization, coordination and problem-solving skills.
Basic math – add, subtract, multiply, divide, fractions and decimals.
