Job Summary
The Marketing Materials Coordinator is responsible for preparing, coordinating and distributing marketing information for various market segments. This position modifies, updates and maintains marketing and sales materials such as marketing grids and other benefit-related materials. This role ensures all materials meet regulatory compliance requirements and overall consistency with marketing objectives and Company best practices.

Essential Functions*

  • Distributes regulated and customer-facing marketing materials for various market segments.
  • Collaborates with internal staff to ensure marketing communication materials containing benefits and underwriting information are updated in a timely manner.
  • Tracks language deviations to ensure consistency in marketing communications materials to the benefit plan documents and the claims processing systems. Tracks current and historical marketing materials for internal and external reference.
  • Ensures all materials meet regulatory compliance requirements including Company business practices, product design, appropriate provider arrangements, state mandates and federal legislation.
  • Understands new and existing regulatory requirements as it relates to distribution and ensures timelines are met. Collaborates with internal departments on a regular basis to ensure required mailings and electronic distribution meet state and federal requirements for notice.
  • Handles the maintenance of signed documents, such as, benefit plan agreements or service agreement/stop-loss contracts for various clients. Collaborates with internal sales staff to ensure process steps are followed and proper administration of contracts are complete post renewal. Distributes prescribed notices to clients when contracts go unsigned to obtain signature(s). Stores and tracks communication appropriately for audit and quality purposes.
  • Indexes marketing materials in the Company’s document repository application/tool and visible on the portal for BCBSND clients.
  • Modifies, updates and maintains marketing and sales materials, marketing grids and benefit-related sales materials.
  • Leads and/or participates in committees and/or special projects which oversee the development, distribution and revision of marketing grids, custom sales requests for health, dental and vision products and other necessary marketing communication materials.
