Description:
Providence is calling a Supervisor Clinic Operations- Behavioral Health Clinics (PBMG Anchorage,Day-shift, 1.0 FTE) to Providence Health & Services in Anchorage, Alaska. In this position you will:
Office Operations:
Oversight of workflows that impact billing, registration and scheduling. Establish written procedures and workflows. Use where appropriate, Operation Excellence tools (CAP and Workout or LEAN) for sustained improved processes and workflows
Develop, implements and ensures patient referral system admits patients within 3 days of referral (exception, provider availability)
Manage patient referrals to avoid waiting list situation. Informs clinic manager when more than 10 patients wait 7 days for initial appointment
Monitor trending and analysis, reports including productivity (clinicians), QI, customer service, cycle times, financial reports, etc.
Contribute to general clinic operations:
EMR Implementation—active involvement in this key business element
Customer Service— Monitors customer service activities and ensures customer service is demonstrated by all front office staff at all times. Evaluates customer satisfaction and ensures patient, peer and referral source concerns are addressed and resolved, providing periodic reports to the clinic manager
Clinic Management Team—active participant and member
Financial Performance & Billing:
Ensure accuracy of registration process at pre-registration and check-in establishing and maintaining 95% accuracy in registration process
Develop, implement and manages a system to verify insurance benefits and inform patients of co-pays. Manages and audits the system to collect and bill for all co-pays, ensuring billing within a timely manner
Monitor and measures performance against additional targets put forth in clinic strategic plan
Oversee denial tracking and provide feedback to clinicians and clinic manager as necessary
Work with HIM to improve coding consistently over time and completed timely
Team Building:
Recruit and retains qualified staff to perform the functions of the front office
Manage to approve FTE budget for front office
Develop and fully implements competency based training and orientation program for all front office staff. Performs performance evaluations for all front office staff in a timely manner
Use performance reviews to establish goals/improvement plans for each team member. Meets at least quarterly with each team member to review annual plan and ensure individual progress is on track
Regulatory Compliance:
Ensure coding, billing and documentation meet Providence’s established requirements
Remain current with changes in regulatory compliance for outpatient therapy services and ensures accuracy of documentation and billing processes for the front office
Administrative responsibilities as delegated by the clinic manager
Complete Competency Plan for assigned job and department
Qualifications:
Required qualifications for this position includes:
2 years previous business office experience
Experience successfully managing insurance eligibility verification and patient co-payment processes
Preferred qualifications for this position includes:
Bachelor’s degree
Experience in an outpatient healthcare clinic
Experience with business planning, financial analysis, and medical/physician billing & coding
