GENERAL DESCRIPTION OF POSITION
This position is responsible for responding to incoming calls and providing excellent customer service, along with being responsible for daily function of the scheduling office and assisting with patient needs on the phone.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Answer phones in pleasant manner, acting as a first point of contact for new and reoccurring
patients scheduling various appointments with the clinic, satellite offices or referring medical facilities.
2. Greet patients in polite, prompt & helpful manner. Provide necessary instructions and direction.
3. Identifies customers' and providers' needs, clarifies information, researches every issue, and
provides solutions and/or alternatives in order to avoid unnecessary call transfers.
4. Take and record messages in patient cases for physicians and nurses & revise patient schedules if
necessary.
5. Update patient information, provide any necessary forms requiring completion, obtain medical
records, updated insurance information, schedule/cancel/reschedule patients, etc. and records all
communication and follow-up efforts in the patient's notes.
6. Attend ongoing education and keep book updated with any changes in procedures, policies or
scheduling.
7. Schedule radiology and/or procedures, as directed.
8. Maintains knowledge of providers' scheduling preferences following scheduling protocol and
prepare appointment schedules to provide physicians with an accurate list of patient workload.
9. Request historical medical records from referring provider or primary care physician as needed for
treatment of the patient. Which include but are not limited to lab work, past radiology reports, consult
notes, surgical notes, office visit summaries etc.
10. Use effectively the current operating system for Electronic Medical Records, Schedules and reschedules appointments for patients as necessary, following the appropriate policy.
11. Maintain patient confidentiality and compliance with HIPAA laws and regulations and keep
Manager informed of situations involving discretionary concerns.
. Requirements:
EDUCATION AND EXPERIENCE
Mental alertness and adaptability to office and field area work routines. Equivalent to four years high
school or GED, with particular emphasis during high school in office skills, shop skills, or others, plus
7 to 11 months related experience and/or training, or equivalent combination of education and
experience.
COMMUNICATION SKILLS
Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, public and other employees of the organization.
