SUMMARY:

Under the direction of the Director of Case Processing, the Deputy Director of Case Processing assists in managing court-wide programs and procedures designed to monitor and control civil, criminal and family case processing functions. Prepares reports for the State Court Administrators Office (SCAO) which measures caseload and compliance with SCAO guidelines, assists with coordinating and monitoring courtroom activities to ensure reporters are efficiently assigned and that accurate and timely transcripts are generated; assists with coordinating and monitoring placement of interpreters in courtrooms and hearing rooms. Employees in this title are expected to maintain a professional appearance and demeanor.

ESSENTIAL FUNCTIONS:

  • Assists with identification and evaluation of needs and the development and implementation of policies, procedures and programs, making recommendations as appropriate.
  • Directs reporting staff by identifying and assigning work, documenting work performance metrics and communicating work performance expectations, establishing professional development plans, providing training, implementing corrective actions plans, approving time, assuring appropriate staffing coverage, reviews and evaluates performance of assigned personnel, conducting periodic performance reviews, acknowledging accomplishments, providing assistance, performs investigations and issuing discipline.
  • Developing and updating operational manuals.
  • Meets as needed with reporting staff regarding operational goals, status changes and other pertinent information.
  • Oversees the development of judicial rotation schedules.
  • Resolves problems as they arise, prioritizes work plans, and collects/reports statistics to the Bench, Referees and their subordinates.
  • Participates in the review of interpreter qualifications and assists with the development of processes for most efficient utilization of interpreters.
  • Assist with the management of Court’s records, including physical and electronic files under control of the County Clerk’s Office and the Court’s information technology department. Oversees the application of management principles to records production, file control, and records preservation and storage. Participates in the monitoring of case data entry and document filing and implementing procedures to ensure timely, accurate, consistent, and reliable document processing and reporting.
  • Ensures the accurate and timely creation of the verbatim record of court proceedings. Assists with research and proposal of appropriate technology for exploring money-saving technological alternatives to traditional court reporting.
  • Coordinates and monitors courtroom activities to ensure reporters are efficiently assigned throughout the court and that accurate and timely transcripts are generated in compliance with court policies, court rules, court orders, case law, and statutes governing court reporting and transcript preparation.
  • Coordinates and monitors courtroom activities to ensure interpreters are efficiently assigned throughout the court.
  • Monitors changes in legal requirements that impact case management and court reporting and coordinates and assists with the development and implementation of required procedural changes which includes the preparation and review of needed administrative orders or docket directives.
  • Drafts and prepares reports related to docket reviews as needed.
  • Coordinates ancillary functions, in cooperation with the administrative division to ensure access within the courtroom for individuals with disabilities. Monitors requests for assistance within the courtrooms and provides information to assist the administrative division in budgeting for and obtaining equipment and interpreters needed to comply with the Disabilities Act and Department of Justice requirements.
  • Performs other duties as assigned.

ELIGIBILITY: This examination is open to anyone who meets the minimum qualifications. A person may not participate in an open competitive examination for the same title until ninety (90) days have passed since they last took the examination.
