Department Overview:
This HR Systems Specialist supports OHSU by providing accurate and timely processing of employee transactions and by maintaining accurate and retrievable employee records. This position serves as a main point of contact for customer groups and provides exceptional customer service by listening to concerns, resolving issues and responding to organizational and individual needs related to HR Service Center policies, processes and procedures. This position also assists in developing efficient processes to meet business needs and provides system and process training for customer groups.

Function/Duties of Position:
HRIS Transactional Processing. Performs a variety of day-to-day administrative Human Resource Information System (HRIS) functions ensuring data integrity and the processing and reporting of HR data. Works independently under general direction. Handles problems and non-routine situations by determining the approach or action to take and interprets contracts, guidelines, procedures, policies, and practices. Confirms accuracy and integrity of all data entered, maintains data in HRIS systems and databases and assures information is available on a timely basis and complies with established approval requirements by mission (where applicable). Performs group data updates, exports, imports, clean-ups, and researches/reports on any data discrepancies. Performs and delivers routine daily/weekly/monthly auditing and reporting and responds to basic to intermediate ad hoc data requests. Consolidates employee data and documents between multiple systems to maintain the integrity of the official employee personnel record.
Customer Service. Serves as a Service Center resource for assigned customers (employees, managers and administrative staff). Responds verbally or in writing to inquiries, complaints or problems providing information requiring comprehensive knowledge of university policies and procedures. Acts as primary contact for assigned function with outside organizations or other departments; responds to technical administrative questions and ensures necessary follow up. Provides assistance and supports others on difficult assignments and/or problems as directed. Conducts data analysis on HR data such as compensation, classification, employment, employee relations, and/or benefits data as requested/directed.
Technical Support. Provides first line technical support for HRIS self-service applications for employees, managers and administrative staff, including training, troubleshooting, documentation and escalation for system defects and enhancements.
Project Support. Participates in projects with HRIS team members as directed including defect, enhancement and annual patching with existing systems in addition to additional testing required for integration with new systems, as required.
Other Duties As Assigned: Assists with New Employee Orientation. Provides back up for HR Service Center Receptionist.

Required Qualifications:
High school diploma and two years of progressively responsible administrative experience in a general office or secretarial role, or equivalent combination of training and experience.
Strong interpersonal skills. Clear verbal and written communication skills.
Intermediate proficiency in Microsoft Word and Excel and an email system such as Outlook; ability to learn new computer systems rapidly.
Active listening skills; ability to deal with customers in stressful situations; ability to remain calm under pressure.
Excellent customer service skills both in person and on the telephone.
Attention to detail.
Ability to complete multiple tasks within inflexible and rapidly changing deadlines.
Good organization, follow through and time management skills; ability to prioritize.
Create quality working relationships with staff at all levels of the organization, using good judgment in recognizing the scope of authority.
Must be able to perform the essential functions of the position with or without accommodation.

Preferred Qualifications:
Two years of experience processing employee information in a high volume production environment. Prior experience working in a HRIS System.
