What you can expect as the Imaging Document Specialist:
Coordinate incoming and outgoing correspondence to/from the Executive Office and process internal office mail. Make designated corporate information available to users digitally by identifying, preparing, imaging and indexing incoming mail and other documents.

  • Display company values of integrity, openness, respect, and accountability when interacting with both internal and eternal customers; Use Sammons Leadership Series (SLS) concepts and/or other management practices, while keeping the division vision and mission statement at the forefront, in work processing.
  • Open and sort incoming mail in accordance with department procedures, quality and time standards, including delivery to internal departments.
  • Prepare documents to be imaged in accordance with established procedures and guidelines.
  • Scan documents in accordance with established procedures and guidelines.
  • Index documents in accordance with established procedures and guidelines, focusing on 100% accuracy.
  • Manually sort and insert agent mail in accordance with established procedures and guidelines, focusing on 100% accuracy.
  • Provide outgoing mail service to the agents and Executive Office in accordance with department procedures, quality and time standards.
  • Perform quality assurance checking on files in accordance with established procedures and guidelines.
  • Research and determine policy numbers to assign to paperwork received via mail or fax.
  • Process in-coming and out-going UPS packages.
  • Work closely with other departments to ensure proper communication. Provide timely turnaround of e-mails and phone calls.
  • File documents in accordance with established procedures and guidelines.
  • Maintain records in fiche or paper form and become knowledgeable of all company numbers in reference to policies or agents names or codes.
  • Assist with maintaining Record Retention boxes by tracking, pulling or filing back boxes. Retrieve records as requested.
  • Cross-train where necessary to provide overall department and team support.
  • Promote teamwork by supporting team members and sharing knowledge using the corporate shared values as the guide for all interactions.
  • Assist management with training of new employees.

  • As stated within the Company Attendance and Punctuality policy, regular attendance is required and expected in order to meet the business service levels and workflow demands.

What we are looking for:

  • H.S. Diploma preferred
  • Less than 2 years Mail room or Imaging experience preferred
  • Data Entry - 9,000 ksph with 95% accuracy
  • Strong computer skills (Word, Outlook, Excel & Access)
  • Knowledgeable in network systems in order to locate alpha, agency and policy lookups
  • Good written and verbal communication skills
  • Ability to work in a fast paced environment with high volume of work with minimal errors
  • High attention to detail
  • Strong problem solving skills and adapt to frequent change
  • Ability to work efficiently and independently
  • Strong organizational skills
  • Ability to sit or stand for long periods of time
  • Ability to lift and/or team lift 30 to 35 lb. boxes on a regular basis
