Idaho Lottery – Management Assistant

The Idaho Lottery is looking for an outstanding and dynamic person to join our team as the Management Assistant. This is an exciting opportunity for someone looking to be a part of a fun, fast-paced, team and agency.

Example of Duties

Working with the management team, the Management Assistant provides administrative support to the Director and Chief Operating Officer and administers a wide range of administrative and office duties for the agency.

This position is a part of Administration Division of the Idaho Lottery and will be best fit for someone who has experience interpreting regulations or policies and procedures; planning, organizing, implementing and evaluating special projects; researching, compiling, developing and summarizing material for reports; and analyzing information, identifying problems, defining alternatives and developing recommendations for management.

Duties for this position will include:
Serve as the assistant to the Director and Chief Operating Officer
Serve as the liaison to the five member Idaho Lottery Commission, scheduling, planning and organizing all Commission Meetings in accordance with Idaho Open Meeting Laws, compile and post minutes, maintain files, book Commission travel and track reimbursements, track Commission Gubernatorial Appointments
Maintain and store all large contract, legal, request for proposal/request for bid, and Annuity files
Oversee or administer office functions including: printer placements and contracts, office supplies, shipping and mail services, spending cards, contact sheets, employee lists, building maintenance, janitorial services, office furniture, memberships, subscriptions, office services, GPS tracking for fleet, State phone directory, etc.
Execute administrative personnel functions, including issuing new hire paperwork and assist with onboarding, IPOPS and ITIME entries, maintain personnel files, answer routine human resources and personnel questions, assist in facilitating new recruitment postings, scheduling of interviews and other routine matters
Coordinate conference participation, travel, accommodations, reimbursements, etc.
Track, book, coordinate most office travel, both in state and out of state
Register, track and maintain Idaho Lottery trademarks, both in Idaho and federally with United States Patent and Trademark Office (USPTO)
Coordinate Notary applications, filings, and stamps
Manage The Lott, the Idaho Lottery intranet, creating ideas to make it better, ensuring it is updated routinely and new content is posted and train new users
Participate on strategy teams and other special project teams
Work as the liaison between Customer Service and the Chief Operating Officer

Minimum Qualifications

Good knowledge of office, management, leadership, state government and personnel practices
Excellent communication, both written and verbal, skills with the ability to create technical and official correspondence
Good problem-solving skills with the ability to evaluate and improve processes
Proficient with computers and computer software, particularly Microsoft Office (Word, Excel, PowerPoint)
Ability to learn and use multiple computer programs at once
Good knowledge of office support functions and equipment
Ability to multi-task with heavy workloads and execute effectively and efficiently
Ability to maintain confidential information and materials
Ability to interpret, apply and explain complex information such as regulations, policies or service
Ability to interact comfortably with all types and ranks of individuals, and ability to adapt quickly and anticipate needs
Must successfully pass criminal, credit, and public records background checks conducted by the Idaho Lottery
Must successfully pass pre-employment drug test
Must have valid drivers’ license

Supplemental Information

This is a full-time position and is located in Idaho Lottery Headquarters in Boise, Idaho. Pay for this position is between $22.00-$24.00 per hour depending on knowledge and experience and will receive full, State of Idaho employee benefits.
