Primary Purpose:
Under direct supervision provide a wide variety of both clerical and staffing services for the personnel department. Preform final out-processing of employees and leave coordination while assisting in the recruiting process. The transition clerk also provides administrative support to the personnel services department as needed.

Qualifications:
Education/Certification:
High school diploma or GED

Special Knowledge/Skills:
Proficient keyboarding skills

Effective organization, communication, and interpersonal skills

Ability to follow written instructions

Ability to operate multi-line phone system

Experience:
One-year clerical experience in office setting

Major Responsibilities and Duties:
Reception and Phones

Provide training to all users of Talent Ed Recruit & Hire and Records system to ensure correct utilization.
Attend and Assist in all onboarding processes and orientation.
Serve as the district resource person for questions in regards to the various operations and services of the Personnel Services Department.
Register all new employees into the system, issue welcome packets and badges.

Other

Provide support for the Personnel Services Specialist and Benefits Manager
Create and distribute employee service records, while maintaining a history log.
Present the district in a positive way to the applicants and community we serve in a professional manner.
Serve as a resource to all employees in answering their questions or attempting to send them in the right direction to get their answers and taking reliable messages.
Assist in the verification of employment requests.
Assist with the filing and the confidentiality of personnel files in the office.
Assist with creating new personnel records for all new employees after all records are in order.
Assist with employees during Open Enrollment for Insurance/Benefits coverage.
Assist in staff development provided by the Personnel Services office.
Assist applicants in filling out online applications.
Receive, sort, and distribute mail, messages, documents, and other deliveries.
Work cooperatively with payroll and other Personnel Services staff.
Assist with employees in a disruption of any district operation that is beyond the control of the district (e.g., lack of school funding, natural disasters, court orders, public insurrections, pandemics, war, etc.).
Maintain logs of campus’ employees on leave and up to date medical documentation.
Inform campuses of approved employees leave dates.
Assist employees in the resignation/termination process to ensure proper paperwork and technology has been submitted.
Adding new hires in to skyward
Maintaining an up to date list on new hires for new hire sessions and notifying other departments
Attending walk ins
Completing verifications of employment with sense of urgency
Contacting leavers with the employee exit process and assisting with any questions in regards to leave
Verification of I-9’s for new hires
Contacting hourly employees with job offers and verifying their Talent Ed paperwork is completed
Making sure to contact new hires that have signed up for sessions and have not completed their electronic paperwork and new hires that need to sign up for new hire sessions during new hire season
Maintain confidentiality.
