YMCA International Services is a unique center of the YMCA of Greater Houston that delivers client-centered programs to refugees, immigrants and other vulnerable populations to advance their economic independence, social integration and civic participation. The Y helps newcomers restore hope, build stability, create opportunity and change futures. As the Payables Specialist your role is responsible for the accurate & timely processing of Accounts Payable invoices, monthly center PCard charges and procurement of vendors for the YMCA of Greater Houston’s International Services.

Essential Functions:
Ability to understand, communicate, and implement YMCA policy and procedures regarding Accounts Payable.
Train new staff in the PCard process by reviewing the PCard SOPs.
Provide communication and clarification to staff/Center as to use of the PCards, credit limits, propriety of charges, correct account coding, management approval, sales tax charges, timing of expense reporting, etc.
Reconcile total PCards charges to YMCA payments to the bank on a monthly basis.
Actively participate in continuing efforts to improve the Pcard program through webinars, reporting capabilities, internal controls and staff education.
Process daily check uploads to bank
Respond promptly to bank fraud inquiries.
Submit Positive Pay file to the bank and follow up on Positive Pay exceptions.
Ensure YMCA procurement process is followed for center purchases. Including, verifying that all invoices received for payment are examined as to propriety of charges, correct account coding, management approval, W-9 requirements, sales tax charges, etc. and follow up on questionable items.
Respond to inquiries from Center/Association staff and/or vendors in a timely and professional manner.
Provide timely follow up with Center/Association staff on issues of internal control and/or policy noncompliance and communicate issues with Senior Director.
Assist in resolution of disputes arising out of AP issues.
Reports suspicious and inappropriate behaviors and policy violations.
Follows mandated abuse and incident reporting requirements.
Meets timelines and deadlines related to supporting systems and employee compliance. Example includes but are not limited to Kronos Workforce Ready for review and approval of own time sheet.
Participate in rotating food pantry schedule.
Other duties as assigned.
Bachelors degree and/or equivalent years of experience.
Ability to manage multiple projects while maintaining a high attention to detail.
Ability to analyze data and draw conclusions, solve problems and make good decisions.
Excellent communication skills - both verbal and written.
Ability to work with a positive attitude as part of a team.
